For paintball fields and private-game operators

Paintball Waiver Software for Fields and Private Games

Prepare the paperwork before players queue for rental equipment. Use your field?s reviewed waiver, share it with private groups and open-play visitors, and check the signed record before your normal admission and briefing steps.

Unlimited waivers for $19/month.

No credit card required. Use the waiver you already have.

Clear the paperwork before equipment handover

A private group arrives alongside the first open-play players. Staff are checking attendance, preparing rental gear and organizing the briefing. Send the waiver link with arrival instructions so reading and signing can happen before those jobs converge at the equipment counter.

From your existing document to a signed record

  1. 1. Prepare and review

Upload your existing waiver PDF or enter your own text. Compare the converted draft against the original, correct any issues and check the signing fields before publishing.

  2. 2. Share the published form

Copy the signing link into your own messages, display its QR code or open kiosk mode on your tablet. Visitors read and sign online; signing requires an internet connection.

  3. 3. Retrieve the record

Search signed records by name or email and filter by date or waiver. Open the record and download its stored signed PDF when your team needs a copy.

Prepare youth players before they reach the field

When minors are allowed, enable the guardian option and share the link with responsible adults ahead of the visit. The form collects participant details and the adult’s name, relationship and signature.

A team captain distributing instructions does not automatically have signing authority. Decide how staff handle missing guardian consent before equipment is issued.

Choose a practical signing location

Keep the QR sign near reception or staging, where players can read before gloves and equipment make phone use inconvenient. A kiosk tablet helps visitors who need a device.

Both options need internet access. Plan a staffed process for connectivity problems rather than assuming a signature can be submitted offline.

Keep agreements distinct from field rules

Prepare wording for the activities and equipment you actually use. If you offer separate formats or youth sessions, ask your adviser whether they need distinct templates.

Marshals still deliver briefings and enforce field rules. A stored record documents the agreement; it is not proof that a player followed instructions throughout a game.

Evaluate software against your field?s arrival process

Youth and adult participation forms

Configure the appropriate minor flow and use separate reviewed templates where game formats require different wording.

Records from earlier private games

Use name or email search plus date and waiver filters. Updating a template does not rewrite an older signed PDF.

Offline signing or an automated game roster

FlatWaiver?s signing flow is online and does not synchronize an event list with completed signatures. Check those requirements before moving from your current system.

Rehearse the staging-area handover

Start with your reviewed document and sample participants. Test the handoff your team will use before sharing the signing link with visitors.

  1. 1

Prepare the document for the game format you are testing. Compare the converted draft with the original and enable minors when the youth signing process requires it.

  2. 2

Send a sample private-game arrival message with the link. Ask a teammate to complete it from home before reaching the field.

  3. 3

Test QR and kiosk signing at the actual reception point. Check internet access and decide how staff handle a guest whose paperwork cannot be completed there.

  4. 4

Find adult and guardian sample records, download their PDFs and rehearse the check before equipment is issued. Keep your guest roster and briefing checks separate.

Preserve what each visitor signed

Each signed waiver is tied to the exact published template version used at signing. Updating your wording creates a new version without replacing earlier agreements. Retrieve the stored signed PDF with its signing details and timestamps rather than reconstructing it from today’s template.

Use name or email search and date or waiver filters for record retrieval. CSV record exports and signed PDF exports support your own administrative workflow.

Paintball fields waiver questions

Can we keep separate game-format waivers?

Yes. Unlimited templates let you keep distinct reviewed documents where appropriate. Name them clearly and share the link for the activity being played.

Can parents complete the form from home?

Yes. Enable minors and share the link so a parent or guardian can provide their name, relationship and signature before arrival.

Will signing work without reception at the field?

Submitting a signature needs internet access. Check connectivity where players sign and encourage advance completion when service is limited.

Can we retrieve private-event records later?

Yes. Search by name or email and filter by waiver and date to download stored PDFs. Your event roster remains in the tools you already use.
